E-Invoice setup #
Enabling e-invoicing in our service is easy. You can activate it in the settings under 'E-invoicing.' Click 'Enable e-invoicing,' and NOCFO will automatically generate an e-invoicing address. You can now send and receive e-invoices!
If enabling e-invoicing is not successful, what can you do? #
If you already have an e-invoicing address provided by Apix (*) through another service, you need to stop using it before enabling e-invoicing in our service. Please ask your current service provider for detailed instructions on how to do this. If you encounter any issues during activation, feel free to message us, and we will try to solve the problem together.
(*) Apix is a commonly used e-invoicing operator. If your company's e-invoicing address operator code is 003723327487, your company has an e-invoicing address provided by Apix.
Sending and Receiving E-invoices #
1. Billing Settings #
Let's update your company's billing information.You can update the billing details under Settings.
- Payment information for invoice payment.
- Email address that will appear on the invoice.
- Your company's billing address.
2. Creating a Billable Contact #
Add a contact from the Contacts tab that you want to invoice:
- Select the contact type, which, in the case of e-invoicing, would be a company.
- Add the contact's name and business ID.
- Activate billing.
- Add the recipient company's e-invoicing address and operator code. You can obtain this information by asking your customer for their e-invoicing details or by searching for them at: https://verkkolaskuosoite.fi/client/index.html
- Add the recipient's billing information under billing, and if necessary, the VAT number.
- Save the contact.
3. Creating a Billable Product #
- Create a product code to identify the product (it can be any number).
- Name of the billable product.
- Unit (e.g., pcs, kg, hours).
- Price of the product.
- Specify whether the unit price includes value-added tax (VAT) or not. (In retail, it's often preferred that the total amount on the invoice is, for example, exactly 10 euros. In this case, it's advisable to include VAT in the unit price. In business-to-business transactions, prices are often stated with 0% VAT, making it more convenient not to include VAT in the unit price.)
- Choose the VAT treatment and VAT rate for the product.
Create a new invoice #
- Select the recipient from the contacts with billing activated.
- Select the invoice date and payment terms. The due date is determined by the payment terms.
- Additional information can be added to the invoice if desired.
- From the 'More' option, you can define the reference number and late payment interest for the invoice. The reference number is generated automatically if not specified manually.
- Add the billable products and any description to the product line.
- Save the invoice, after which you can preview it.
Review the Invoice and Send it as an E-invoice #
After creating the invoice, you can review the draft to ensure it looks correct and contains all the necessary information. Then, approve and send the invoice. The e-invoicing address will be automatically retrieved from the contact's information on the invoice.
Receiving an E-invoice #
Received e-invoices will automatically appear in the Invoices section. The e-invoice will include a detailed PDF and payment information that can be conveniently copied to a payment service. Once the invoice is paid, it will be marked as paid, changing its status to green.
